How Guestwise works: from guest list to headcount in 15 minutes

Guestwise is a digital invitation with a guest list behind it. Instead of one link that anyone can reply to, every family gets its own link that already knows who they are, how many seats they have and which parts of the event they are invited to. This guide walks through the whole flow once, end to end.

Key takeaways

  • Every invitation (a family or one person) gets a personal link — guests never sign up or download anything.
  • You set the seats per invitation; guests tick who is coming, so the count cannot exceed what you offered.
  • Replies, changes and “opened but not replied” are tracked automatically, so you always know who to follow up.
  • You can start, publish and send for free with up to 30 invitations.

The idea in one sentence

A normal e-invitation counts clicks; Guestwise counts people. Because each link belongs to one invitation, a reply can only ever update that invitation — no duplicates, no anonymous “datang 4 orang”, no guessing who “Abang Long” is.

Step by step

  1. Create the event

Choose the event type (wedding, open house, aqiqah, birthday, corporate…), enter the title, date and time zone. Guestwise pre-fills sensible RSVP settings for that type.

  2. Add the venue and your message

Under Details, add the venue name and address (used for Waze, Google Maps and Apple Maps), the host names for the cover and a short message to guests.

  3. Add sessions if you need them

Akad nikah and resepsi, tea ceremony and banquet, or Sesi 1 / Sesi 2 for an open house. Skip this if everyone attends one event. See sessions and time slots.

  4. Add your guests

Type them in or import your Excel list. For each invitation set the adults, children and whether a +1 is allowed. Naming the members is optional but makes replies clearer.

  5. Choose a design

Pick one of nine designs, an accent colour and an optional cover photo. Show, hide or reorder sections such as the programme, dress code, gifts or contact.

  6. Publish and send

Press Publish, then open Send. Each family has a WhatsApp button that opens a chat with a personal message — in their language — and their own link.

  7. Watch replies arrive

The Overview shows people coming, pending replies, who opened without replying and who changed their answer. Export the list for your caterer any time.

What your guests see

Guests tap the link in WhatsApp and see your invitation addressed to them (“Kepada Keluarga Encik Ahmad”). They choose Yes or No, tick who is coming, pick their session if there is a choice, and add wishes. They can come back to the same link to change their reply until your reply date. Attending guests can show a QR code at the door if you use check-in.

What it costs

Up to 30 invitations is free, including publishing. Larger events use a one-time Event Pass or Event Plus for that event; planners and resellers use the Vendor plan. See choosing a plan for the details and a cost comparison with printed cards.

Questions

Do guests need an account or app?

No. Guests open the link from WhatsApp, SMS or email and reply in their browser.

Can I change things after sending?

Yes. Edit details at any time; if you change the date, time or venue, Guestwise offers to post an update and notify guests.

Is my guest list private?

Personal links are long random codes, invitation pages are hidden from search engines, and only you and the co-hosts you invite can see the list.
