Sessions and time slots: akad vs resepsi, tea ceremony vs banquet, and open house waves

Sessions let one invitation cover several parts of an event — or several time slots for the same event — with separate replies and separate counts. They solve two very common problems: inviting different people to different functions, and spreading an open house across the day so the house never overflows.

Key takeaways

  • Two modes: guests tick every session they will attend, or choose exactly one time slot.
  • Give a session a capacity and it closes automatically when full.
  • Each guest only sees the sessions on their invitation.

Mode 1: parts of an event

Use this for akad and resepsi, tea ceremony and banquet, or registration, programme and dinner. Each invitation includes the parts you choose, and guests tick the ones they will attend. Your overview shows the expected people for each part — exactly what the caterer and the masjid or hall need.

Mode 2: choose one time slot

Use this for open houses and busy family events. Create sessions such as Sesi 1 (12pm–2pm), Sesi 2 (2pm–4pm) and Sesi 3 (4pm–6pm), set a capacity for each, and in the RSVP form choose *“They choose ONE time slot.”* Guests see how many places are left; full slots cannot be selected.

  1. Create the sessions

Go to Sessions, add each part or slot with its time, and optionally a different venue (for example the akad at a masjid).

  2. Set capacities

Enter the maximum number of people for each slot. Leave 0 for no limit.

  3. Choose how guests reply

In RSVP form, choose “tick each one” or “choose ONE time slot”.

  4. Assign invitations

New sessions can be added to every invitation at once; untick sessions on individual invitations where needed.

Capacity planning for an open house

A simple rule of thumb: divide the number of people your home or hall can comfortably host at one time by your average family size to estimate families per slot, then set capacity in people, not families. Two-hour slots with a short gap help you reset the food table.

Questions

What happens if two guests take the last places at once?

The second reply is told the slot has just filled up and asked to choose another.

Can a session be at a different venue?

Yes — each session can have its own venue and address, shown on the guest’s programme with a Waze link.
