How to convert Word, Excel and PowerPoint files to PDF

Why businesses send PDFs instead of Word or Excel files, and how to convert documents online while keeping the layout.

When you send a quotation, report or price list, a PDF looks the same on every computer and phone, can't be edited by accident, and doesn't reveal hidden comments or formulas. That is why most businesses send PDFs to customers.

How to convert

  1. Open Word, Excel & PowerPoint to PDF.
  2. Choose a Word (.doc, .docx), Excel (.xls, .xlsx), PowerPoint (.ppt, .pptx), OpenDocument or RTF file.
  3. Wait a few seconds while it is converted, then download the PDF.

Tips for a perfect result

  • Excel: set the print area and page orientation in Excel first; the PDF follows the print settings, one sheet after another.
  • Fonts: common fonts convert faithfully. Unusual fonts are replaced with similar ones, so check headings before sending.
  • PowerPoint: each slide becomes a page; animations are not included.
  • Passwords: remove the document password first.

Combining documents

Convert each file, then join them with Merge PDF, for example a cover letter, a quotation and a product sheet sent as one attachment.
